I was talking with an HR leader recently about historical payroll records.

Their organization had changed payroll systems several times over the years. They knew the records existed somewhere, but once we started talking about access, a few questions came up:

Which system has records from seven years ago?

How quickly could the team respond to an audit or records request?

What happens if a former provider no longer hosts the data?
None of those questions seemed urgent until they imagined an auditor, attorney, former employee, or regulator asking for the records tomorrow.
That's something we hear often.
After payroll transitions, acquisitions, and periods of growth, historical records usually still exist. The challenge is knowing where they are and getting to them when they're needed.
The organizations that struggle most are rarely the ones that lost the records; they're the ones that need the records immediately and aren't sure where to start looking.
