Hi Diana,
Once a claim or investigation is reasonably anticipated, employers have a duty to preserve relevant employee data and documents.
That duty covers what sits in retired payroll systems, former vendor archives, and exports on a shared drive, in addition to what's in your current HRIS. A retention schedule that deletes on time can work against you once a hold is in place.
Here's what to know about litigation holds and payroll records.
ResNav gives organizations direct, searchable access to historical payroll and HR data and documents, so preservation and production don't depend on tracking down a former provider.
Does your hold process cover systems you've already retired?
Best,
Whitney
